Marvis privacy notice

Marvis is operated by Ricky Andrew McDonnell, using RMC Group service branding. For privacy questions and requests, email info@RMCEngineering.co.uk.

Information used

Marvis stores account identifiers, names, verified email addresses, roles and account activity timestamps. Your saved records can include titles, owners, assignee emails, dates, notes, progress, project names, decision outcomes and record history. The service also stores business names, memberships and roles, invitations, people-display preferences and administrative events.

Why we use it

We use this information to authenticate accounts, provide private workspaces, save and update commitments, share explicitly assigned actions, maintain history, support users and administer the service.

Who can see information

Private records are scoped to your account. Explicitly shared actions are available to their creator and registered assignee. Business member search shows matching names and email addresses only to members of the same business. Personal and existing private-work spaces do not expose the global user directory. Business administrators manage membership, business invitations and business roles; membership alone does not expose everyone’s records. The platform administrator can view the account directory and administer accounts. The service operator and infrastructure providers have technical access necessary to operate and support the service.

Service providers and ChatGPT

Clerk provides sign-in and Cloudflare provides hosting and the application database. These providers process account, authentication and operational information to provide their services and may process it outside your country. When you connect ChatGPT, OpenAI processes your conversation and the account information and records returned by the plugin under its own service terms and privacy arrangements.

Disconnecting the plugin does not erase records already returned to a ChatGPT conversation. Do not enter passwords, verification codes, payment-card details or regulated sensitive personal records into Marvis notes.

Action reminder emails

When weekday reminders are enabled, IONOS delivers an individual email to your verified account address containing your overdue and due-today action titles, due dates, project names and workspace labels. Only your own or explicitly assigned actions are included. You can stop these reminders on the Email reminders page. Marvis stores your reminder preference and delivery metadata to prevent duplicate sends; the delivery log does not store message content. Emails already delivered remain subject to your email provider’s retention.

Retention

Account information, saved records and history have no scheduled automatic expiry in the current service. They remain until removed through the relevant deletion process. Deleting an action removes the current record but retains its content in a deletion-history entry. Removing a person card does not delete their task records.

Administrator removal of an account deletes its owned records and history from the active Marvis database. A deleted-account marker and an administrative event remain to prevent unintended account restoration and support administration. Records created by other people, including their shared actions, are handled separately.

Backups and migration copies are retained separately and currently have no automatic purge schedule. Provider authentication records, operational logs and information already sent to ChatGPT are subject to separate provider retention arrangements. Contact us about deletion from these systems; removing a current application record does not guarantee immediate erasure from every copy.

Your controls

You can edit your records, export a workspace, delete your own actions after confirmation, and disconnect ChatGPT in its connection settings. Shared-action assignees have limited update permissions. Contact us from your registered email to request access, correction or account removal, or to raise a concern about our handling of your information. Applicable privacy rights depend on your location.
